Job Description

We are seeking a highly organized and detail-oriented Project Coordinator to join our dynamic team. The Project Coordinator will play a crucial role in supporting project managers and ensuring the smooth and efficient execution of projects from initiation to completion. This individual will be responsible for coordinating resources, managing timelines, tracking progress, and communicating effectively with stakeholders.  

Responsibilities:

Project Support:
Assist project managers in planning, executing, and closing projects.
Prepare and distribute project-related documentation, including meeting agendas, minutes, and status reports.
Maintain and update project schedules, budgets, and resource allocation.
Track project deliverables and ensure they meet quality standards and deadlines.
Coordination & Communication:
Coordinate communication between project team members, stakeholders, and external vendors.
Schedule and organize project meetings, workshops, and presentations.
Facilitate effective communication and collaboration within the project team.
Proactively identify and address potential communication barriers.
Resource Management:
Assist in the allocation and management of project resources.
Monitor resource utilization and identify potential resource constraints.
Coordinate with relevant departments to ensure resource availability.
Documentation & Reporting:
Maintain accurate and up-to-date project documentation, including project plans, risk logs, and issue logs.
Generate regular project status reports and provide updates to project managers and stakeholders.
Document and track project changes and ensure proper approvals are obtained.
Administrative Tasks:
Manage project-related administrative tasks, such as filing, data entry, and expense tracking.
Assist with procurement and vendor management as needed.
Help with onboarding of new project team members.
Risk and Issue Management:
Assist in the identification and tracking of project risks and issues.
Help to implement mitigation and contingency plans.
Escalate risks and issues to project managers as needed.
Qualifications:

Bachelor’s degree in business administration, project management, or a related field (preferred).  
1years of experience in a project coordination or administrative support role.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Proficiency in project management software (e.g., Asana, Trello, Jira, Microsoft Project).  
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.  
Detail-oriented with a strong focus on accuracy.
Ability to multitask and prioritize tasks effectively.
Ability to adapt to changing priorities.
